Managing Instances

You can manage process instances to start, view process diagram, undeploy, suspend, activate, delete, view audit history, and export to Excel.

Starting an Instance

To start an instance:

  1. Click. The Start Process Instance window is displayed.

  1. Optionally, enter the Business Key and click Start Instance. The Business Key is a unique way to identify an instance and can be a business identifiable value such as an insurance case id, a unique loan number, or firstname_lastname combination identify a case uniquely for a specific customer. Process instances can be filtered on Business Key

The process is started and tasks are assigned to the designated users.

Viewing Process Diagram

To view a process diagram:

Click. The Process Diagram window is displayed.

Undeploying a Process

To undeploy a process:

  1. Click. A pop-up window is displayed prompting for confirmation.
  2. Click OK.

All the running instances of the process are deleted.

Suspending a Process

To suspend a process:

  1. Click. The Process Suspend window is displayed.

  1. Select Include Instances to suspend all existing process instances of the process.
  2. Select Immediately to immediately suspend the process.
  3. Select Delay to suspend the process at the scheduled time.
  1. Click Suspend

The process is suspended and marked with the icon in the process list. You can activate the process as required.

Activating a suspended Process

To activate a suspended process:

  1. Click. The Process Active window is displayed.

  1. Select Include Instances to activate all the suspended process instances of the process.
  2. Select Immediately to immediately activate the process.
  3. Select Delay to activate the process at the scheduled time.
  1. Click Active

The process is active and marked with the icon in the process list.

Deleting a Process Instance

To delete an existing process instance:

  1. Click.  A pop-up window is displayed prompting for confirmation.
  2. Click OK.

The process instance is deleted from the CC.

Viewing Audit History

To view audit history:

  1. Click. The pane is displayed with two sections.

When expanding the activity, the following details are displayed:

  1. You can perform the following activities in the Activity Details section:

To compare two activity variables,

  1. Select the check boxes of the required two activities and click Compare Variable. The Variable Comparison window is displayed. 

The variables and the values of the two activities are displayed.

  1. Select Highlight Changes check box to highlight the changes.

You can filter on Activity and Performer variables. For more details on filtering, see the Filtering Processes and Instances section.

Exporting Instances

You can export process instances into Excel format.

To export process instances:

Click.

The process instances are exported into the Excel file.
